Creating a supplier from a purchase invoice D365FO

As with international systems in general, Microsoft Dynamics 365 Finance does not have solutions suitable for the Finnish market, for example, for automatic supplier creation. For our customer, the supplier was always created manually by searching for information on the PRH and VIES websites, among others. We built two solutions for this, an app within the ERP and an automated reading of the purchase invoice:

 

1) Power Apps, the automation which, on behalf of the financial administrator, used the API interfaces to retrieve all the necessary information, such as postal and visiting addresses and, among other things, the VAT registration.

D365FO embedded Power App & purchase invoice reading automation for supplier creation:

• The data is imported via API interfaces directly from the PRH or another source.
• Reduce the number of errors – no more manual copying.
• Significantly improves the user experience.

 

Power Apps was embedded directly into the D365FO system. So, the financial manager can add suppliers through this Power Apps, but the automation will alert if a supplier already exists. We developed the solution even further, so jump to section two!

2. Creating a supplier directly from a purchase invoice

We took the automation solution a step further and built an automation system that checks whether the supplier is already registered every time a new purchase invoice arrives. If the supplier is not, the automation builds the supplier into the system and the accountant doesn’t have to do anything, not even use the point 1 Power App. However, the Power App was left in the ERP system, as there are situations where suppliers need to be added even if the purchase invoice has not yet arrived.
