When a new employee starts, information is recorded not only in the HR system, but also in several different places, ranging from health records to payroll. We built a solution in which a software robot started automatically whenever a new employee was added into the HR system in Workday and started transferring the necessary data to other systems as well. The robot’s operation freed up a lot of time for HR managers and improved the quality of the process by transferring data securely and without errors.

If desired, the process could be further refined to create IDs. In this case, the software robot would also be responsible for setting up the necessary credentials for the new employee. The HR manager would select the level of access rights and the software required, leaving the software robot to build the credentials based on this information. The title or the applicable TES could also be a guideline for the software robot, i.e., it would build the IDs according to certain rules. For example, a property manager would automatically have certain rights and a project manager would have rights to the systems required for his/her role.
